Southwestern University has an opening for a Faculty Secretary, Job # 512, reporting to the Office of the Provost. This is a 12-month, 40 hour per week position with benefits.
Primary responsibilities: secretarial/clerical support for 20 full-time and part-time faculty including, but not limited to, the following: general office support (photocopying, filing, faxing, mail delivery, purchase of office supplies); preparation of faculty correspondence and documents such as letters of recommendation, department reviews and manuscripts; comprehensive support of faculty search process; development and creation of web pages, brochures, programs, and flyers; coordination of all arrangements for special events such as guest speakers and symposia; communication with building occupants; providing assistance to department chairs with administrative duties; and special projects or administrative-support assignments as presented by the faculty and the Associate Vice President for Academic Administration.
Minimum qualifications: high school diploma and at least three years of secretarial experience, preferably in a higher education setting; excellent customer service skills; advanced expertise in Microsoft Office applications; well-developed organizational skills, including the ability to manage and complete multiple tasks for numerous individuals with minimal supervision and within stated timeframes while paying careful attention to detail; highly effective interpersonal and oral/written communication skills; ability to be flexible and adapt to changing assignments and multiple priorities; evidence of ability to self-initiate and anticipate the needs of constituents; and experience with creating and maintaining web pages.
